A short plan for nursing homes and clinics before the call-outs start.

Every staffing manager knows the pattern: the weekday schedule looks fine, then a holiday weekend and a wave of sick calls land at once. Two things from the last few weeks make this the time to plan, not October.

| An August 20 staffing update from NursingHome411 (the Long Term Care Community Coalition) found Hudson Valley nursing homes averaging below New York's minimum staffing standard, and looked closely at how coverage drops on weekends and holidays. Surveyors and families look at those days too. |

 | Map your next 12 weekends plus Thanksgiving and the December holidays today, shift by shift. | | Mark every slot that depends on one person saying yes to overtime. Those are your real gaps. | | Decide now which of them you will fill with per diem or contract CNAs, LPNs or RNs. |

Respiratory season means call-outs and paperwork |
|
| On September 10 the New York State and New York City Health Departments endorsed this season's flu, RSV and COVID-19 immunization recommendations. When the State Health Commissioner declares flu prevalent, covered facilities must also make sure unvaccinated staff wear a mask where residents are present. |

What to do |
|
| Ask every agency partner for vaccination status and documents at the time of booking, not at the door. | | Get your per diem bench credentialed and oriented now, so a Friday-night call is a phone call and not a scramble. | | Keep a short unit orientation sheet ready for new faces: codes, charting and who to call. |

Keep your bench on one page
List each per diem clinician's role, the credentials you hold on file and the last date they worked your unit. When a call-out lands, you'll know who to call first.

Check in, don't just fill |
|
| A shift filled by someone who never comes back doesn't solve anything. At Quality Healthcare Staffing we check in on day 3, day 7 and day 30 of every placement, so problems surface while they are still small. |

What to do |
|
| Give every new clinician one named contact on the unit for their first shift. | | After the first week, ask the charge nurse one question: would you book this person again? | | Tell your staffing partner early when something isn't working. A quick swap beats a lost month. |
